Define workplace demand before drawing rooms

People
Current headcount, expected attendance and planned growth.

Count peak simultaneous use rather than assuming everyone needs the same setting. Check these assumptions with team leads before sizing the workplace.

Activities
Focus work, calls, meetings, collaboration and customer visits.

Identify tasks requiring privacy, acoustic separation or dedicated equipment.

Support
Storage, printing, pantry, server equipment and housekeeping.

Record the items and supplies each area must hold.

Retained assets
Furniture, equipment and finishes to reuse.

Measure reused pieces and check their delivery, power and data needs.

Establish what the building can support

Collect the landlord fit-out guide, current floor plan and available ceiling and services drawings. Have the relevant teams verify AC, power, data routes and fire-safety interfaces against the proposed occupancy and room arrangement. New enclosed rooms can affect more than partition quantities; their ceiling and technical requirements need to be coordinated before finishes are ordered.

Record access, permitted work hours, loading and lift bookings, insurance and submission requirements. If the office remains occupied, draw construction zones and protected routes with the building team. Identify the staff, equipment and business processes that cannot operate during planned outages, then agree when and how they move.

  • Agree who supplies furniture and technology.
  • Check the lease reinstatement obligations relevant to the works.

Define readiness for the first working day

Construction completion and a usable workplace are different milestones. Put furniture, connectivity, system testing and staff move activities on the same programme.

    Coordinate supplier interfaces

    Issue the furniture plan to the electrical and IT teams. Confirm sockets, data, equipment openings and delivery dates before fitting fixed joinery.

    Plan outages and moves

    Assign shutdown and restart responsibility for each affected system. Set up temporary facilities before moving people out of a work zone.

    Test and close

    Agree commissioning, snag corrections, cleaning and the records needed by facilities management. Test technology with the business team before booking staff occupation.

Add a workstation schedule to the furniture plan

Give each desk type a reference that the furniture, electrical and IT suppliers can use. Record these fields before outlets are installed; a generic desk symbol hides equipment and connection differences.

Furniture
Desk, chair, screens and storage dimensions.

Identify reused pieces and allow for chair movement, drawer access and any adjustable-height operation.

Equipment
Computer, monitors, telephone and other devices.

Confirm the devices with the users or IT team instead of assuming every workstation has the same load and connectivity.

Power, data and cable-management arrangement.

Show the route into the furniture and access for changing cables after occupation.

Acceptance
Named team responsible for the final check.

Verify furniture position, working connections and access with the business team before repeating the arrangement across the office.
